The setup wizard

The eleven-step setup wizard that connects HaloPSA, creates your organisation and chooses how AI and Q-Director behave, with how it saves progress, what completing it does and how to reopen it.

The setup wizard takes a new QuantumOps instance from empty to working in eleven steps: it connects HaloPSA, creates your organisation, and chooses how AI and Q-Director behave. A new instance sends you to the wizard when you sign in, and keeps sending you there until you complete it.

Before you start: only an Administrator can open the wizard. Have the items from Before you begin ready, above all the HaloPSA API application described in Your HaloPSA connection.

How the wizard works

  • The header counts your progress with Current Step, Completed, Remaining and Progress. Last Saved shows the date of the wizard's last update.
  • Next stays unavailable until the step's required fields are valid. Step 2, for example, needs a successful connection test. Steps with nothing required let you continue straight away.
  • Steps unlock in order. You can open any completed step and the next unfinished one, but you cannot jump further ahead.
  • Progress is stored when you choose Next, choose Save Progress, or open another step from the step buttons. Back moves to the previous step and records it as your current step, but does not store the values you typed. What you typed stays in the open wizard, and the next Next or Save Progress stores it. If you close the browser after going Back, edits you had not stored with Next or Save Progress are lost.
  • A completed step shows a tick. You can return to it, change a value and choose Next again (step 2 asks for a new connection test first).
  • You can close the browser and come back. The wizard reopens on the step you reached, with the values you saved.
  • Tour starts a guided tour of the step you are on. Every step has one.

Step 1: Welcome

The Welcome step shows Your Setup Journey (connect HaloPSA, organisation, AI setup, automation, go live) and a Have These Ready checklist. It estimates 15-20 min and notes that progress is saved.

The checklist is a reminder for you. Ticking items changes nothing and is not saved. One item reads Webhook URL, but no step asks you for one: QuantumOps asks HaloPSA to create its webhooks when you complete setup.

Take a quick tour starts a tour of the whole wizard. Choose Let's Get Started to move on to step 2.

Step 11: Import & Finalize

Step 11 has three parts: the import options, the Setup Summary, and the button that completes setup.

Import options

  • Import Agents is ticked by default. It is a reminder, and it does not start an import by itself. Import your HaloPSA agents from the Import tab of Team Management after setup. See Importing agents and organisation settings.
  • Import Historical Tickets is optional. If you tick it and finish with Complete Setup & Launch, QuantumOps opens the ticket import for you once setup completes. You can also start it later. See Importing your ticket history.

Setup Summary

The summary reads back what the earlier steps recorded: the HaloPSA address, the billing name, the AI providers and primary model, whether triage assist is on, the web search provider, the import choice, messaging, sentiment sensitivity and whether Customer Success is on. Use it to catch a step you skipped.

Complete setup

Complete Setup in the footer becomes available when steps 1 to 10 are complete and always opens Home. Complete Setup & Launch on the step runs the same completion and, if you ticked Import Historical Tickets, opens the ticket import instead of Home. Completing needs:

  • the HaloPSA address, Client ID and Client Secret from step 2;
  • a Primary AI Model from step 4;
  • at least one AI provider switched on. Together.ai needs your own key; Anthropic can run as managed AI without one.

If something is missing you see a message that begins Missing required fields and lists what to fix. When nothing is missing, completing setup:

  1. Creates your organisation with the sign-in service, or syncs it if it already exists.
  2. Saves the values from every step.
  3. Asks HaloPSA to create the webhooks that send ticket events to QuantumOps. If HaloPSA does not accept the request, setup still finishes and no message is shown. If new tickets do not appear in QuantumOps after setup, use Recreate Webhooks in Tenant settings to create them again.
  4. Marks setup complete and opens Home (or the ticket import, when you used Complete Setup & Launch with Import Historical Tickets ticked).

After setup, Adding QuantumOps tabs to HaloPSA is the next job if you have not done step 10.

Open the wizard again later

Nothing in the application links back to the wizard once setup is complete, but an Administrator can reopen it by adding /setup-wizard to the address of the instance.

  • It opens with your saved values on the step you last visited, and every step is available.
  • A value you change and save here is stored the same way as one you change in Tenant settings or Q-Director Settings, and takes effect the same way.
  • To store a change without finishing again, choose Save Progress. Choosing Complete Setup again repeats the completion steps above, including recreating the HaloPSA webhooks.

For day-to-day changes, the settings from steps 2 to 4 live in Tenant settings, and the Q-Director options from steps 5 to 7 live in Q-Director Settings. Each is linked from the page for its step.
