Activating your account
How the first person on a new instance, and anyone invited later, sets a password and a second sign-in factor from the e-mail the sign-in service sends, and what to do when an e-mail does not arrive or a link has expired.

QuantumOps does not keep passwords itself. Your organisation's sign-in service does, and it sends the e-mail that activates your account. This page covers the three e-mails you can receive from it: the activation e-mail for the first person on a new instance, the invitation for people added later, and the password reset an administrator can send.
The screens you see after opening an e-mail belong to the sign-in service, so they can change without a QuantumOps update. If a screen differs from the steps below, follow what the screen says.
Activate the first account
When your instance is created, the primary contact receives an e-mail from the sign-in service. It is worded as a password reset, so it can look like a message you did not ask for.
You did not ask for it. TechPulse sent it automatically when the instance was created, and it is the e-mail that activates your account. Do not ignore it.
Open the e-mail and select Reset password.
On the password screen, the code from the e-mail is filled in for you, or the screen asks for it. Enter your new password twice. The screen lists what the password must include and marks each rule as you meet it. Select Continue once every rule is marked as met.
Choose a second sign-in factor on the screen that follows.
Sign in at the address of your instance. TechPulse also e-mails you that address when the instance is ready; keep it, because it is the address you sign in at from now on. Signing in explains where you land.
If the code does not work, choose Resend code on the password screen. The sign-in service sends a new code to the same e-mail address.
Accept an invitation
People you add later receive an invitation e-mail from the sign-in service instead. An Administrator sends it from Team Management (Invite user, or Invite to QuantumOps on a person's row) or, with some sign-in services, from Invite Team Member in the setup wizard. Each invitee receives an e-mail with a link to set up their sign-in, and the roles an Administrator ticked in Team Management apply from the first sign-in. Invitations sent from the setup wizard carry no roles, so an Administrator assigns them afterwards. See Inviting people, roles and agent links.
To accept:
- Open the invitation e-mail and select its link.
- Set a password on the sign-in service's screen and, if it asks, a second sign-in factor. The screens and options match the ones described above.
- Sign in at the address of your instance. Ask the Administrator who invited you for the address if you do not have it.
Send a password reset
If you have forgotten your password, ask an Administrator to send you a new password link. An Administrator does this from Team Management:
- Open Team Management and find the person in the Team Members tab.
- Choose Send password reset and confirm.
The action appears where your sign-in service supports it, for people who can sign in and have an e-mail address. Team Management shows what each sign-in service offers. If your instance signs in with Microsoft Entra ID, sign-ins are managed in your own Microsoft Entra tenant, and Team Management offers none of the invitation, reset or recovery actions on this page. When the action is offered, the person receives a link from the sign-in service and sets a new password on its screens.
If a person has lost their second factor, an Administrator can choose Reset multi-factor on the same row where your sign-in service supports it. The person is asked to set up a factor again at the next sign-in.
When an e-mail does not arrive or a link has expired
- Check the junk or spam folder, and check that the e-mail address in Team Management is spelled correctly.
- For the activation screen, choose Resend code to get a new code.
- For a person who has been invited but has not signed in yet, an Administrator can choose Resend invite in Team Management. Some sign-in services cannot resend a pending invitation from Team Management, and the action does not appear for them. In that case, an Administrator sends a new invitation to the same address from Team Management, with Invite user or with Invite to QuantumOps on the person's row.
